Contacts

Contacts is your list of everyone who has ever enquired. Each contact record holds their details, their full conversation history, their tags, notes from your calls, follow-up tasks, appointments and pipeline cards.

Open Contacts from the left-hand menu and use the search bar — name, email or phone number all work. Click a name to open their record.

To see a group of people at once — everyone tagged as a member, for instance, or everyone who came from Facebook — use filters, or a smart list. A smart list is a saved filter that keeps itself up to date as contacts change. We’ve set up lists that separate your members from your prospects.

Notes are for what was said. After every call, add a quick note: what they’re after, any objections, when to call back. The next person on your team to speak to them will thank you.

Tasks are reminders. “Call Sam back Thursday at 4” as a task means it shows up on the day, rather than relying on someone’s memory.

Both live on the contact’s record.

You can add a contact by hand, but know what you’re skipping: contacts you add manually don’t go through the New Lead automation. That means no colour coding, no call count and no automatic follow-up.

Imported contacts skip the New Lead automation in the same way, and a large import can send messages you didn’t expect if it’s mapped to the wrong fields. Talk to us before importing a list, and we’ll make sure it lands properly.

Deleting a contact is permanent: their history, notes and pipeline cards go with them. If someone’s just not a fit, move their card to Not Sold or Wrong Number instead. That keeps your records honest and your reporting accurate.
